The business
A flour mill (atta chakki) holds grain for its customers. Families and shops deposit wheat, collect flour over the following weeks and months, and pay milling charges along the way. Each customer has a running balance — kilos deposited, kilos collected, kilos remaining, money owed — and the mill is trusted to keep it accurately for hundreds of customers at once.
What wasn't working
Numbers nobody can prove
Every balance lived in a handwritten ledger. When a customer remembered a different number, there was no way to show who wrote which entry, or when.
Work that lives on one person's phone
Answering "how much do I have left?" meant a phone call, a search through the ledger and a call back. A single balance query took two to three weeks to answer properly.
Mistakes that land before anyone checks
An entry written in the wrong row or with the wrong figure changed a customer's balance immediately, and was usually found only when the customer disagreed.
What we built
Balances on WhatsApp, any time
Customers message the mill's WhatsApp number and get their full balance — deposited, collected, remaining — without anyone at the mill picking up a phone.
Requests wait for the owner's approval
A deposit or collection, whether entered at the counter or requested on WhatsApp, is held as pending. It changes the balance only after the owner approves it in a mobile admin panel.
A receipt for every change
Once an entry is approved, the customer receives a WhatsApp confirmation with the new balance, in English or Punjabi, whichever they prefer.
History that is never overwritten
Every entry is timestamped with who approved it, and any edit keeps both the original and the updated value. Reports can be filtered by any date range.
Why the disputes stopped
- The customer sees every change as it happens, through the WhatsApp receipt, instead of discovering a different number weeks later.
- A wrong entry is caught at approval, before it ever reaches a customer's balance.
- When a question does come up, the full history — who, what and when — answers it, so there is nothing left to argue about.
The disputes weren't caused by careless people. They were caused by a system where nobody could prove what happened. Change that, and the arguments have nothing left to stand on.
